The Institute for Government is the UK's leading independent think tank promoting more effective government. We work with all the main political parties and with senior civil servants in Westminster, Whitehall and across the UK, providing fresh thinking through research, events and leadership development.

As part of the Institute’s operations team, and reporting to the Director of Finance and Resources, you will support the very active Director and Deputy Director. This will involve:

  • Proactively managing the Director and Deputy Director’s busy diaries
  • Making travel arrangements (including for overseas travel where required)
  • Processing and submitting expenses claims
  • Organising the Institute’s Board and other governance Committee meetings, including:
    • Liaising with Board members and their offices over meetings and other events
    • Preparing and circulating Board and Committee papers
    • Taking minutes in Board and Committee meetings
  • Working with colleagues in the research team to manage the flow of draft reports and other documents to the Director and Deputy Director for feedback
  • Preparing briefing materials for internal and external speaking events, with support from the research team where necessary
  • Working with colleagues in the communications team to manage the Director’s social media (including Twitter) under clear direction
  • Drafting letters to government ministers and other senior external stakeholders as required, tracking responses and following up as needed.

We are looking for proactive and reliable candidates with:

  • Experience providing administrative support to a senior individual or management team, including managing complex and changing diaries
  • Excellent communication skills both in-person and in writing, with the ability to deal appropriately with very senior external contacts and present as a professional and reliable face for the Institute
  • A highly-organised and thorough approach to your work and ability to manage time and tasks effectively, both for yourself and on behalf of others
  • Ability to work on your own initiative with minimal supervision
  • Excellent interpersonal skills, with the ability to work effectively with colleagues and partners both inside and outside the Institute
  • Flexibility and confidence in handling conflicting priorities, tracking progress on a wide range of tasks simultaneously, and producing high-quality, accurate work to tight deadlines, often in a rapidly changing work environment
  • Absolute trustworthiness and discretion when handling sensitive information
  • A forward-thinking and proactive attitude to work, taking opportunities as they arise and with the ability to spot potential problems before they occur, and resilience under pressure
  • A collaborative working ethos and willingness to working flexibly across the organisation
  • Strong Microsoft Office skills, particularly in Word, Excel, PowerPoint, Outlook and Teams
  • An interest in the Institute’s work, government and public policy

The following attributes are useful, but not essential:

  • Experience taking minutes and summarising meetings
  • Experience in contacts management, including awareness of GDPR requirements
  • Awareness/understanding of processes involved in researching and writing report

Other benefits

Contractual

  • 30 days of annual leave in addition to eight days of bank and public holiday for full-time staff (pro-rated for non-full-time posts).
  • The Institute has a pension scheme which you will be auto-enrolled into in your third month of employment. The contribution is a minimum of 5% from the employee and a fixed 10% contribution from the employer.
  • Death in service life assurance of 4 x salary is given to all staff.
  • 20 days sick pay in first year and thereafter 30 days per rolling 12 month period.

Non-Contractual

  • Staff may take two weeks each year when they are working but the requirement to come into the office does not apply.
  • Lunch is provided when working in the office.
  • Employee Assistance Programme (via Health Assured).
  • Six months’ maternity / shared parental leave at full pay.

Full-time staff are typically expected to work from the Institute’s offices in London for at least three days a week, including Mondays, with the option to work remotely for up to two days a week.
