Overview / purpose of the role

The Operations Assistant is a central resource within CGP, working with colleagues across the organisation to provide operational support to all areas of our work, from events, advocacy, research, overseas trips to IT, HR and office management. Reporting to our Head of Operations & Evaluation, the ideal candidate will have excellent organisation skills and an eye for detail. This role may suit someone who would like to further develop their career in operations/project management, it also may suit someone interested in developing a career in advocacy and international development, as they will gain first hand experience across all areas of our work. There will be opportunities for professional development and growth in areas that they are the most interested in

Responsibilities

  • General office management support, including procurement of supplies and managing stocks
  • Managing the Chief Executive’s diary and organising meetings as required
  • Maintain/organise our filing and cloud storage systems logically and efficiently, in a data protection compliant manner.
  • Processing and coding invoices for payment using Xero accounting software, in an accurate and consistent manner.
  • Working with our Senior Events Officer to provide administrative support for our events programme, including collating guest lists, logging RSVPs and providing logistical support.
  • Processing and cleaning event attendance data, so that it is in the correct format to be imported into our CRM following an event.
  • Ad hoc IT support as required, including online troubleshooting and logging support requests with service providers when necessary.
  • Logging meetings and tracking advocacy activities in our CRM system, to support programmatic monitoring and evaluation.
  • General team support, including supporting our advocacy and communications leads with ad hoc research tasks.
  • Working with the Operations Manager to organise internal events like team away days and staff team building activities.

Person specification

Essential:

  • An interest in international development, or defence and diplomacy, and supportive of UK leadership in international development
  • Experience of providing administrative support to a variety of different projects and work streams, managing time effectively
  • Independent worker, self-starter who can take responsibility for projects through to completion
  • Excellent IT skills, proficient with MS Office programmes (particularly Excel) and Google Workspace
  • Excellent organisational skills and close attention to detail
  • Strong online research skills

Desirable:

  • Experience of working with Salesforce
  • Experience of diary management
